Identify Yourself

Always identify yourself in the BODY of an email. Your email address is not enough and in fact may be used by "worms" that generate emails by infecting their computers.

An easy way to identify yourself is to create "Signatures". You may have noticed that my mail always includes a "Signature" that is easily identified with me and has my web site URL included. YOU KNOW IT'S FROM ME! However, ... I don't type all that every time I compose an email.

I use Microsoft Outlook but I am sure that other Email programs have a "Signature" feature as well. I have several "canned" signatures which are used for various purposes. The following are the instructions for creating them using Outlook:

  • Click on TOOLS, then OPTIONS, then MAIL FORMAT. 

  • Click on the SIGNATURE PICKER button.

  • Click on NEW and give this "signature" a name such as "Friends", or "Family" depending on where you want to use it.

  • Follow the instructions and type the text to be used as your "signature".

  • When done, click OK.

  • When you get back to the MAIL FORMAT window, take note of the option to "Use this signature by default". Select the particular signature to be automatically paced at the end of each email or select "NONE".

When you send an email and you have selected a default "signature" it will always be added in the body of the message. You never need to click or type anything. What could be easier?
If you have picked "NONE" as your default signature (as I do), you may add one as follows:

  • Click INSERT

  • Click SIGNATURE

  • Select from your list of Signatures.

Now you can easily add a unique identification to all your email. Your friends (at least this one) will appreciate it.
